Roles may take place around the Copper Box Arena, at training venues, hotels, transport hubs and Heathrow or London City Airports.

 

The roles and shifts available are detailed below. 

1. Airport “Meet n Greet” services

Working alongside our transportation company and local area supervisors – you will be the “first face” of London, as international teams, officials and VIP’s arrive at London Heathrow’s five terminals or at London City Airport looking for that friendly face to greet them after a long journey!

You will identify and meet participants, working to an arrivals sheet and at quieter times you will be stationed at a welcome desk.

Your role is to approach teams as they arrive, flag your presence, welcome and guide them to central event transportation points, assisting them with all immediate needs on arrival.

2. Drivers

Working alongside the VIP transport Manager – you will be required to drive event VIP fleet cars between airports, sports venues, hotels and functions as needed. You will be responsible for transporting international federation guests and will need to have good local knowledge, have a clean driving licence and are comfortable driving around busy areas of the city. 

This is a very interesting and rewarding role, but you will need to be flexible around shift times as this role is varied, sometimes taking you to various locations at unusual times.

3. Hotel Services

Based at the official and team hotels, you will assist guests with check in and rooming issues. You will be assigned to look after specific international groups and act as their liaison with the Organising Committee, helping with transport and accommodation issues, ensuring their needs are met in a friendly manner and providing schedules & information when requested.

Excellent communication, language and problem solving skills are useful for this enjoyable role.

4. Training Venue & Transport

Working with the Training Venue Supervisor, you will manage the comings and goings of teams as they arrive for training slots. This role will be based at the Copper Box Arena.

Teams are allocated training slots, usually pre-booked at specific times.

You will liaise with each team on arrival, check bookings and ensure they have access to their booked training area and facilities.

Towards the end of each teams’ allocated slot, you will ensure they vacate the training area.

As part of this role you will also supervise the transport drop off and pickups of the teams at the venue, liaising with the transport manager and venue staff to ensure smooth movement of vehicles in and out of the arena.

5. Ticketing & Front of House Services

Volunteers would be responsible for the checking of pre-sold tickets and assisting ticketing agents in the selling of new tickets to members of the public.

You would also assist at the Front of House Services desk dealing with any on the door enquiries such as late accreditation pickups.

The individuals chosen for this role must have a track record in dealing with large gatherings of members of the public in a crowded space.

A helpful and calm manner is essential.

6. Stewarding

Responsible for the stewarding of spectators and directing athletes towards the changing and medical facilities whilst ensuring participants/spectators do not enter restricted and VIP areas. Working with the Floor Manager, you will control access to specific areas of the venue including the back of house area and the competition floor.

On none event days (Tuesday and Wednesday) duties will consist of ensuring only authorised personnel have access to the venue build & competition hall plus directing participants attending training, weigh in’s and registration.

A calm and pleasant demeanour with the public is required for this role.

7. Rig/De-rig Team

Volunteers will be helping with the set up and dismantling of the competition venue before and after the main competition days. This could include the laying and removal of mats, venue branding, furniture positioning and assisting technology suppliers with cabling and general venue preparation. This is quite a physical but enjoyable role so a certain level or fitness and stamina is helpful (but not essential as we find things to do for everyone!)

This role gets you under the skin and behind the scenes of a major event and is very rewarding as you see the whole event come together and stand back and think – I did that!

Reporting to the Floor Manager.

8. Athlete & Match Processing

You will be working as part of a team to guide athletes through the match preparation process and out into the arena for their matches and back again.

This is one of the most constantly busy area of the event giving volunteers numerous opportunities to engage with athletes and coaches from around the world. If you are a “people person” with good organisational skills, this role will give great satisfaction.

Responsible to: The Holding and Transition area managers.

9. Media/PR Support

Responsible for supporting the PR team manager and the journalists who attend the event. The role will include working between the competition floor, the press room and results services, ensuring information and results are kept up to date and the needs of the journalists are met. This role is ideal for people interested in learning how the media and broadcast areas work.

Responsible to: The Media managers.

10. Hospitality, Ceremonies and Protocol

Working with the Head of Protocol - this is a varied and busy role operating in different areas across the event throughout the events days. Key working areas include:

  • VIP accreditation and VIP functions         
  • Officials & Referee functions
  • Opening & Closing Ceremonies                 
  • Medal presentations
  • National & flag ceremonies 

11. Registration, Weigh in and Administration support

Responsible for assisting teams arriving at the venue, registering for the event and athlete weigh in processes.

During competition days, the role will switch to the administration support office inside the competition hall assisting with results processing, further weigh ins and other technical services.

Responsible to the Event Office Manager.

12. On court athlete preparation & Video Replay Support

Volunteers working in this area can switch between interesting roles.

The first role prepares the athletes for the next match for competition by ensuring they are wearing the correct electronic body protectors and the transmitters are functioning correctly. This is an overlapping and checking role with the court officials.

Volunteers then switch to handling match video cameras ensuring the action is caught at all times during each match. If you have a good understanding of technology, then this role is ideal for you.

Responsible to the Competition Floor & Video Managers.

13. Broadcasting

Working alongside the TV production team in providing camera support to rings during preliminary rounds of the event.  At quieter broadcast times, you can assist with video support on each competition court.

 Working with the Head of TV production.

14. Fan & Community Zones

This varied role is based on the main public concourses and involves interacting with various school, community and fan groups, immersing people in Taekwondo with try-out zones, fun activities and providing useful information about clubs in the local area.

Encouraging more people to do more Taekwondo more often!!

If you are a helpful, an outgoing people’s person, this role is ideal.

Responsible to the Community Zones manager.

15. Entertainment Team

This is a front of house role that will involve working and having fun with the Sports Presentation team to engage and entertain spectators and participants inside and potentially outside the arena.

You could be asked to lead quirky games, crowd entertainment ideas, souvenir distribution, promotional activity and set pieces planned by the entertainment team.

We are looking for fun loving, energetic volunteers who don’t mind larking around and are not afraid to be in front of crowds or cameras.

At other times, you could be asked to engage with the public around the venue, handing out materials and generally helping with the spectator services team at some peak times.

You will need to be outgoing, and good with people!

Responsible to the Presentation team manager.

TIMETABLE FOR APPLICATION

 

1.       Applications open May 23nd 2017

2.       Application closing date September 29th 2017

3.       Notification of acceptance & role will be sent out starting August 1st 2017.

So that volunteers understand their roles fully, there will be a pre-event volunteer briefing. At this training session, you will also receive information / training for your specific role, collect your accreditation and championship t-shirt.

 

 

 

Requirements

Uniform

You will receive a free event t-shirt to wear during the event. If you could also wear, either, plain black trousers or skirt and black shoe’s - it would be appreciated.

Expenses & Refreshments

You will receive a £5 meal payment, for each shift worked and an expenses fee of £5 per day towards transport costs to and from home to the workplace.  There will also be tea, coffee, and water available inside the venue.
